A Soulful Reminder is a monthly letter club run by Saxon Kent from Byron Bay, New South Wales, Australia. This policy explains what personal information we collect, why we collect it and how we look after it. If you have any questions, contact us at hello@saxonkent.com.au.

1. Information we collect

We only collect the information we need to run the letter club:

Your name and email address when you join, enter the monthly letter draw or contact us.
Your shipping address so we can post your letters, and the name and address of anyone you send a letter to as a gift.
Your order and subscription details, such as your plan and payment history.
Any messages you send us through our contact form, email or social media.
Basic website usage information, such as pages visited and device type, collected through cookies and similar tools.

We never see or store your full card details. Payments are processed securely by Stripe.

2. How we use your information

We use your information to:

Process your payment and manage your subscription.
Prepare and post your letters.
Run the monthly letter draw and contact winners.
Reply to your questions and provide support.
Send you emails about the letter club, new letters and offers, if you have agreed to receive them.
Understand how people use our website so we can improve it.

3. Email marketing

If you join the letter club or enter the monthly letter draw, we may send you emails about the club. Every email includes an unsubscribe link, and you can opt out at any time. Unsubscribing from marketing emails will not affect emails about your orders or subscription.

4. Who we share your information with

We never sell your personal information. We only share it with trusted services that help us run the letter club, including:

Stripe, for payments and subscriptions.
Shopify, for customer records and email.
Formspark, for our website forms and letter draw entries.
Framer, which hosts our website.
Postal and delivery services, to get your letters to you.

Some of these services store information outside Australia, including in the United States. We choose services that take data protection seriously.

5. Cookies

Our website uses cookies and similar tools to keep the site working and to understand how it is used. You can block or delete cookies in your browser settings, although some parts of the site may not work as expected.

6. Keeping your information safe

We take reasonable steps to protect your information from loss, misuse and unauthorised access. We keep it only for as long as we need it to run the letter club, meet our legal obligations or resolve any issues.

7. Your choices and rights

You can ask us to:

Tell you what personal information we hold about you.
Correct information that is wrong or out of date.
Delete your information, unless we need to keep it for legal or accounting reasons.
Stop sending you marketing emails.

8. Complaints

If you have a concern about how we have handled your information, please contact us first so we can try to fix it. If you are in Australia and are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
